Getting started

Set up in a few minutes

From sign-up to your first reply.

  1. 1Go to Create account. Sign up with your email, or with Google.
  2. 2Answer a few questions: your name and brokerage, the areas you serve, how fast you like to reply to leads, and your working hours.
  3. 3Name your assistant, pick how it looks, and choose how it writes: professional, friendly, concise and more, how long its emails are, and your sign-off.
  4. 4Connect your email and calendar. Or choose Use demo data to look around with a pretend inbox first.
  5. 5Pick what it may do on its own. Sending email starts on Ask first, so everything waits for you.
  6. 6Before you finish, it reads your recent mail and shows you who's waiting on you. Choose a paid plan before setup to activate your workspace.

Home then shows a short Getting started list: connect your real email, send your first reply with the assistant, turn on phone alerts, set up one rule, and turn on your booking link. Each one ticks itself off when it's really done.

Connecting your accounts

Connect Gmail or Google Workspace

Review permissions and check your brokerage’s account policy.

Google has not verified Real Extent’s data access yet. You may see an unverified-app warning or be unable to connect. Read the current security information and check your brokerage’s policy before subscribing.

  1. 1Go to Integrations and choose Gmail, or choose it during setup. Select the account where your lead inquiries arrive.
  2. 2Review the account and permissions on Google’s consent screen. Continue only if you understand the access and your organization allows it.
  3. 3If Google blocks access or asks for administrator approval, stop and contact your administrator or Real Extent support.
  • Signing in with Google does not by itself connect your Gmail inbox. Inbox access requires a separate permission request.
  • Follow the Gmail setup guide for your first draft. Do not use another connection method to get around an organization’s restriction.

Connecting your accounts

Connect Outlook or Microsoft 365

Personal and work accounts.

  1. 1Go to Integrations and choose Outlook.
  2. 2Sign in with your Microsoft account and accept the permissions.
  • Outlook.com, Hotmail and Live accounts connect straight away.
  • Work and brokerage accounts on Microsoft 365 may need administrator approval. Follow your organization’s request process and wait for its decision. Approval scope and access depend on the organization’s policy.
  • Read the Outlook setup guide for account and calendar checks.

Connecting your accounts

Connect Yahoo, iCloud, AOL or another email

With an app password from your email provider.

  1. 1Go to Integrations and choose Yahoo, iCloud, AOL, or Other email.
  2. 2Type your email address. It finds the right settings for you, and tells you if your address is really on Google or Microsoft (then use that button instead).
  3. 3Make an app password in your email provider's security settings. The app shows the steps for your provider.
  4. 4Paste the app password and connect.
  • With iCloud, Yahoo and Fastmail, the same app password can also connect your calendar.
  • You can connect several mailboxes. Replies go from the mailbox the email came to. The first one you connect is your main mailbox, and you can change it.
  • Proton Mail, HEY and Tuta don't let other apps read your email. Forward lead emails to an address that can, or use the lead form under Integrations.

Connecting your accounts

Connect a calendar

Use your email's calendar, or a different one.

Gmail and Outlook bring their calendar with them. To use a different calendar, go to Integrations, find Calendar, and pick one:

  • Google Calendar or Outlook calendar: sign in, and only calendar access is asked for.
  • iCloud: make an app-specific password at account.apple.com and paste it in.
  • Other calendar: any calendar that supports CalDAV.
  • Calendar link: a private iCal link. This only shows when you're busy, so the assistant can't book showings on it.

Connecting your accounts

Import your contacts

From Google, Outlook, a CSV or a vCard file.

  1. 1Go to Integrations, then More connections, and choose Import contacts. It's also under Add lead on the Leads page.
  2. 2Pick your Google or Outlook address book, or choose Upload a file. CSV files from Google, Outlook, Yahoo and most CRMs work, and so do vCard files from iCloud and phones.
  3. 3Tick the people you want and choose whether they're past clients or friends and family.
  • Nobody is emailed when you import. Follow-ups for imported people start paused.

Connecting your accounts

Connect texting and chat

Quo, Google Voice, Telegram and your website.

Go to Integrations, then Messages. Each channel shows its own steps:

  • Quo (formerly OpenPhone): paste an API key from Quo and pick your number. Quo charges for texts on your Quo plan.
  • Google Voice: turn on “Forward messages to email” in Google Voice. Texts then arrive through your connected Gmail.
  • Telegram: tap Link my Telegram and follow the steps in the app.
  • Website chat: copy one line of code onto your website. Visitors who leave an email or phone number become leads.
  • WhatsApp, Instagram and Facebook Messenger are built and coming soon. iMessage isn't possible, because Apple doesn't let any app read or send them.

Using your assistant

Choose what goes out without you

Auto, Ask first, or Disabled.

Go to Settings, then How my assistant works, then Approvals. The Sending emails and messages switch covers emails to leads and clients, message replies and follow-ups in one tap: Ask before sending or Send without asking.

Below it, What goes out without you lists each kind of message and the setting that decides it. Every other action has its own Auto, Ask first or Disabled setting.

  • Approve drafts right in the chat, or on the Approvals page. Edit anything before it goes.
  • Anything nobody acts on expires after 7 days.
  • Some things always wait for you, whatever the setting: sending to many people at once, and anything that mentions wiring money or bank details. More on the Security page.

Using your assistant

Set up a rule

Tell it once, in plain words.

  1. 1Go to Rules, or just type it in the chat: “If Mike doesn't reply in three days, follow up.”
  2. 2Check the one sentence that shows what it understood. Change who, when or what if you need to.
  3. 3Save. It shows when the rule runs next, and does it without asking again.

Using your assistant

Get alerts on your phone

New leads, bookings and replies, the moment they happen.

  1. 1Open the app on your phone and sign in.
  2. 2On iPhone or iPad, tap Share, then Add to Home Screen, and open the app from your home screen. Apple only allows alerts this way.
  3. 3Go to Settings, then Account, and turn on Phone alerts. Send yourself a test.
  • Alerts are set per device. Turn them on in each browser or phone you use.
  • Private or incognito windows can't get alerts. Use a normal one.

Using your assistant

Run an open house sign-in

A QR code at the door instead of a clipboard.

  1. 1Go to Leads and choose Open house. The address fills in from your next open house on your calendar.
  2. 2Print the sheet with its QR code and put it by the door.
  3. 3Visitors scan it and sign in on their own phone. Each one becomes a lead, and gets a thank-you follow-up unless they already have an agent.

Account and billing

Plans and cancelling

What you pay, and how to stop.

A paid plan is required to activate your workspace. Manage your plan in Settings, then Plan & usage. See every plan on the Pricing page.

  • Plan & usage shows how many assistant actions you have left this month. You're never charged extra for going over.
  • To cancel, go to Settings, then Plan & usage, and choose Cancel plan. Invoices and your card are under Manage billing & invoices.
  • After a plan ends, your workspace stays, read-only, so you can come back. Refunds are covered in the Refund Policy.
