Your email

Subject: Seeing [Address] this week Hi [First name], Thanks for asking about [Address]. I can show it [Day] or [Day]. Which works better for you?

Fill in 4 remaining fields to copy or download.

A practical starting schedule

  1. As soon as practical: answer their question. Aim for five minutes when you can, but check the facts before sending.
  2. If text is an agreed channel: send a short text that identifies you and your brokerage.
  3. If they asked to see it: confirm access and offer two available times.
  4. If they have not answered: consider a useful follow-up the next day. Respect their preferences and stop if they ask.

Stop writing every lead reply yourself.

The templates

1. Within 5 minutes

They asked to see a home

Subject: Seeing [Address] this week

Hi [First name], Thanks for asking about [Address]. I can show it [Day] or [Day]. Which works better for you?

Why it works: Two confirmed showing times give the buyer a specific choice. Check listing access before offering them.

2. Within 5 minutes

They asked if it's still available

Subject: [Address] is still available

Hi [First name], Yes, [Address] is still available as of today. I can also send the disclosures and what nearby homes sold for. Would you like to see it this week?

Why it works: Answer the availability question after checking current status. Offer disclosures or comparable sales only when you can provide them.

3. Within 5 minutes

The home is already under contract

Subject: About [Address]

Hi [First name], [Address] went under contract this week, sorry about that. There are [Number] homes nearby in the same price range that are still available. Would you like me to send them?

Why it works: Explain the verified status and offer a useful alternative. Fill in the number only after checking comparable available homes.

4. Within 5 minutes

The inquiry came with no message

Subject: Your question about [Address]

Hi [First name], I saw you were looking at [Address] on Zillow. Are you hoping to see it soon, or getting a feel for the area for now?

Why it works: When someone only taps the contact button, a simple either-or question tells you how ready they are without feeling like an interview.

5. Within 5 minutes

They asked about price, taxes or payments

Subject: Your question about [Address]

Hi [First name], [One-sentence answer to their question]. If it helps, I can introduce you to a lender who can tell you what the monthly payment would be. Would that be useful?

Why it works: Answer first, then offer the next useful step. Never guess at a number you don't know. Say you'll find out.

6. As soon as practical, if text is an agreed channel

A text as the first reply

Text message

Hi [First name], it's [Your name] with [Brokerage]. I saw your question about [Address] on Zillow. I can show it [Day] or [Day]. Which is better for you?

Why it works: Say who you are and why you're texting in the first line, so it doesn't read like spam.

7. The same day

A homeowner asked what their home is worth

Subject: What [Address] could sell for

Hi [First name], I can prepare a price range for [Address] using recent comparable sales and the home's condition. Would a 20-minute visit this week work for you?

Why it works: Explain how you will prepare an estimate and ask for the information you need. An estimate is not a guaranteed sale price.

8. 1 day after your first reply

No answer the next day

Subject: Two homes like [Address]

Hi [First name], In case [Address] isn't quite right, two homes nearby have the [Feature] you might like. Would you like the links?

Why it works: Something new to look at is easier to answer than a second “did you see my email?”

Example: answer the question without guessing

Illustrative example with invented details, not a customer result.

Inquiry: “Is 45 Lakeview Drive available? We would like to see it Saturday.”

If you have not checked: “Hi Maya, thanks for asking about 45 Lakeview Drive. I’m checking its status and Saturday access. Would morning or afternoon suit you better?”

Once availability and access are confirmed: “Hi Maya, 45 Lakeview Drive is available, and I can show it Saturday at 10 or 2. Which works better?”

The second reply belongs after verification. An inbox assistant cannot infer current listing status from an old inquiry, and Real Extent does not currently connect to the MLS.

What makes a portal lead reply

  • Answer the question they asked. If they asked whether a home is available, give the verified answer or say you are checking.
  • Offer a clear next step. Two available showing times give them a specific choice instead of an open-ended scheduling question.
  • Keep the first reply focused. Answer their inquiry before asking for extra information. Ask only what you need to arrange the next step.
  • Be honest when the home is gone. If it is under contract, say so. Offer alternatives only after checking that they exist and fit the request.
  • Make any follow-up useful. If they have not replied, our follow-up email templates offer starting points. Adapt the timing to their preferences and stop when asked.

Questions agents ask

How fast should I reply to a Zillow lead?
Respond as soon as practical. Five minutes is a working target in these examples, not a guaranteed threshold for winning a client. An accurate answer matters more than an unverified claim about a listing.
Should I call, text or email?
Follow the person’s stated contact preference. In Zillow’s 2026 buyer survey, text was the most common preference among buyers who hired an agent (43%), but that does not establish any individual lead’s preference or consent. If you do not know it, reply to the inquiry by email and ask. A phone number by itself does not tell you which channel they prefer.
What if I can’t reply in five minutes?
Real Extent can prepare a draft from the inquiry so you have less to write when you are available. Keep sending on Ask first, check the details, and approve when ready.
Can I adapt these for Realtor.com and Redfin inquiries?
Yes. Replace the source name and property details, and confirm the contact preferences and circumstances of that inquiry. These examples are not official portal scripts.

Sources and how to use this guide

We wrote these examples around common questions in property inquiries. They have not yet been independently reviewed by an agent or tested in a conversion study.

Replace every bracketed field. Verify availability, showing access, prices, disclosures and comparable homes before mentioning them. Choose a contact channel the person has agreed to and follow your brokerage’s process.

Reply to every new lead in minutes, without being glued to your phone

Real Extent works inside your email. When an inquiry from Zillow, Realtor.com or your website arrives, it writes a reply in your voice using what they asked, adds them to your leads, and pings your phone. You tap Approve, or let it send on its own once you trust it.

Plans from $19/month, billed when you subscribe. Sending starts on Ask first. Need setup help?
